Office of Student Affairs is a centralized student resource for on-campus life that is committed to enhancing your college experience outside of classroom learning. We offer many co-curricular opportunities for students to participate in, and being  involved with a specific club or organization.

STUDENT ORGANIZATIONS

The Office of Student Organizations and Activities implements university programs, policies, rules and regulations in so far as student activities and welfare of the students are concerned. It monitors, supervises, and regulates the operation and activities of duly recognized and accredited student organizations and coordinates with external institutions of off campus participation. It also works coordination with all sectors of the academic community.

1. All students may participate in existing recognized organizations. A recognized student organization is any association, club, council or any form of organized group of students granted permission to operate within the College by the Office of Student Affairs upon the recommendation of the department coordinator.

2. No student organization shall exist, hold office, or promote any activity, directly or indirectly, within the school or use its name without prior recognition from the Office of Student Affairs.

3. Only bonafide NCST students may join in any recognized student organization. A student who wishes to join in any recognized school organization will only be allowed to hold one key position.

4. The officers of student organizations shall be elected by the members subject to the provisions of their respective constitution and by-laws.

5. The GPA of any organization’s officers must be 80% without failing grades in any subject.

6. A student organization applying for accreditation shall submit a letter of application, together with the following documents to the Office of Student Affairs:

a. Constitution and by-laws duly ratified by its members
b. Names, year and signature of at least fifteen (15) founding members
c. Official list and directory of officers with their respective GPA
d. Proposed activities for the entire school year including the tentative dates of implementation and brief description of each activity.
e. Name of faculty adviser with a letter of acceptance addressed to the Office of Student Affairs

7. The Office of the President shall have the final approval of the accreditation and recognition of a student organization after the Office of Student Affairs submitted the list of pre-approved organizations.

8. All accredited organizations that wish to renew their accreditation must submit the following:

a. Audited financial statement for the previous year
b. Official list and directory of newly elected officers
c. Official list of members
d. Calendar of activities for the current school year
e. GPA of officers for the semester prior to election
f. Amendments to the constitution and by-laws if any

9. The Office of Student Affairs supervises all activities of all accredited organization. No activity shall be held without appropriate permission from the Office of Student Affairs.

10. The president or head of every student organization is required to submit a written report regarding the progress of an organization’s program to the Office of Student Affairs at the end of the current semester.

11. The collection of membership and other fees is permitted to support the existence and activities of the organizations. Written permission from the Office of Student Affairs is required before an organization can collect fees. Collected fees or whatever donation received shall be duly covered by a receipt. Fund shall be deposited to the Finance Office in the organization’s name to safeguard the members’ interests. The designated signatories are the adviser, the president and the treasurer of the organization.

12. Fund-raising activities or projects shall be allowed but will require notation from the adviser, endorsement from the college dean, recommending approval from the Office of Student Affairs and approval from the Office of the President following the guidelines set by the college dean, recommending approval from the Office of Student Affairs and approval from the Office of the President following the guidelines set for these activities.

13. Each student organization keeps a permanent and updated record of report (financial statement, minutes of the meeting, etc.) The Office of Student Affairs and/or the members of the organization have the right to inspect these records to counter check the validity or the accurateness of these files. The secretary of an organization shall make an evaluative report of the organization’s activities after each activity at the end of the year. The treasurers are required to make a financial report duly supported with official receipts of all the transactions of the student organization. The reports are to be signed by the president and the auditor and approved by the adviser of the organization. The Office of Student Affairs gives an award of recognition to students’ organizations which are considered outstanding in their respective thrusts and areas of concern.

a. The qualifications for the selection of the Most Outstanding Student Organization are as follows:
b. Open to all accredited organization, clubs and societies whose memberships and leadership is composed of at least fifteen (15) members who are 15-22 years old.
c. Organization shall be judge on the basis of a recent project or program that has a impact on the school and community and which be reflects the effort of the member towards school and nation building.
d. A project entry began in the recent school year must either be completed before or by the deadline, or a major portion must have been undertaken by the deadline.
e. For other continuing projects, a major portion must have been undertaken by the deadline.

Search Rules:
a. All entries shall be evaluated mainly on the basis of requirements and criteria, organization shall submit only one project entry.

14. The project entry submitted for evaluation must not have been a recipient of a direct government financial assistance or grants.

15. Funding for the project entry must primarily be non-governmental.

a. Previous awardees and finalist may still participate provided that they enter a project entry different from the one entered in the preceding search.
b. All decisions made by the screening committee headed by the Coordinator of the Office of the Student Affairs shall be final. No correspondence pertaining to these decisions shall be entertained.
c. All materials submitted will become the property of the school.
